Airbnb recently released a list of 100+ upgrades to their website and services. These features are designed to enhance both the host and guest experience. One of my favorite upgrades is Scheduled Messages. If you have a full calendar of guests it can be time consuming to type individualized messages to each guest at various stages of their stay.
One way you can streamline messages is to implement scheduled messages. As a host, this option can be found on the Menu > Inbox > Settings > Scheduled Messages.
I use scheduled messages to communicate with guests right after they place their booking, before check-in, during their stay and after check-out. Below shows when I send messages to guests and what is included in each message.

Once a guest has completed their booking and has paid they receive a scheduled message from me that is titled “Thanks for your booking | House Details”. This message thanks the guest for their booking and gives them relevant information about their upcoming stay. I include the below details.
- Thank the guest for their booking and let them know they can reach out to you with any questions.
- Home address and directions
- Co-Host/House Manager details
- House Rules
- WiFi Details
2 days before check-in
This message serves as a reminder to the guest and includes very similar information as the original message. Sometimes guests book months in advance, so it is a good idea to resend this information so it is fresh on their mind. I title this message “Check-in Info” and it includes the below details.
- A pleasant greeting that shows your are excited to host them.
- Co-Host/House Manage details. If you want the guest to reach out to the co-host make sure you instruct them to do so and include the contact phone number.
- Address and Directions
- House Rules
- WiFi Details
- Thank the guest again for their booking. I also let them know to reach out to me if they have any issues and I include my direct phone number.
1 day after check-in
I prefer to send this message titled “How was your 1st night?” to ensure the guest is comfortable. It also allows them to voice any concerns or questions they may have after staying in the house for one night. If they have issues finding or operating something in the home this is a good time for them to ask questions.
This is a simple message that says you hope they enjoyed their first night in the home and if they have any questions to please reach out to you. I keep it short and sweet!
1 day before check-out
This message, “Check-out Info”, gives the guest any information they will need in order to ensure a smooth check-out. I include the below details in this message.
- Thank the guest for staying at your home.
- Ask them to reach out to the co-host/house manager to let them know what time they will be checking-out. If there is a strict check-out time, make sure you remind the guest of this.
- Wish them safe travels back home.
3 days after check-out
This is an optional message that I do not send to every guest! If the guest was good and I would want to host them again, then they receive this message titled “Please stay with us again”.
This message, again, thanks the guest for staying with you and let’s them know that you would be happy to host them again in the future. I also offer a special discount for returning guests that book within 12 months of their original stay. This is a great way to get return guests that you know are good!
